Returning clientPaymentsCommission

Payments, payment plans and commission for a sales team, in one place

After we built their wholesale order system, the same client came back with their online coaching business. Its sales team closes deals on payment plans, and nobody could easily see who had paid, who was behind or what each rep had earned. We built them one system for all of it.

The problem

Leads come in from TikTok, Instagram, LinkedIn, YouTube and paid ads. A setter books the call, a closer sells the programme, and the customer pays in full or in instalments, through Whop or by bank transfer. Everything was tracked in a spreadsheet that closers filled in by hand after each call.

The "cash collected" column was never updated after the call, so nobody knew who had actually paid, who was behind on their plan, or what each rep had earned. And commission is paid on cash actually collected, not on the contract value.

What we built

  1. Deals built automatically. Leads, setters, closers and call outcomes are pulled in from GoHighLevel. Nothing is written back, so their existing setup is untouched.
  2. Payments matched for them. Whop payments arrive on their own and are matched to the right customer by payment ID, email or phone, never by name alone. Anything unclear waits for the owner to match by hand.
  3. Payment plans with a named owner. Every deal shows its contract value, instalment schedule, what's paid and what's left. Each has a rep responsible for collecting it, with a My tasks list of what needs chasing.
  4. Bank transfers with a check. Reps can record payments made outside Whop, and they only count once the owner approves them.
  5. Commission that works itself out. Calculated per setter and closer from cash actually collected, using rates and rules the owner can change, with monthly statements and payouts. Each rep sees only their own.
  6. A dashboard and a resources library. Cash, overdue payments, leaderboards and the value of each lead source. There's also a shared library of videos and documents that reps can send to students through share links they can switch off at any time.

Screens

Dashboard with cash collected, new contracts, money still to collect and overdue payments, a monthly cash chart, and a list of things needing the owner's attention
The owner's dashboard: cash in, still to collect, overdue, and what needs sorting today.
Deals list with each customer's lead source, setter and closer, plan, contract value, amount paid, amount left and next due date
Every deal: where it came from, who sold it, what's been paid and when the next instalment is due.
Commission statements for the month, showing each setter and closer's rate, cash collected and amount payable
Monthly commission, worked out from cash actually collected and ready to mark as paid.

Getting the money right

  • Money in whole pence throughout, so instalments, refunds and commission never pick up rounding errors.
  • Refunds take commission back automatically, and the commission rules are settings the owner controls, not fixed in code.
  • Permissions checked on the server for every action, and every change is written to an audit log. Hiding a button is never the only protection.
  • Private files stay private. Uploads go to private storage and are only ever shown through short-lived links.
  • Their history comes with them. The old tracking spreadsheet is imported once, and rows that can't be imported cleanly go to a review list instead of being guessed.

How we worked

We started with a clickable demo on sample data, so the team could try every screen and change their minds before any real build. Then we built the real system on our own accounts. It goes live directly in their accounts, alongside their order system and with the same deploy and rollback routine, so they own all of it from day one.

If your team sells on payment plans and pays commission, we can pull your CRM and payment data into one place and have the maths done for you.
